Your IT team configures a scheduled Clarity Reporting job to push your flowsheet build export to Lumenly's secure endpoint. No inbound access to your network. One-time setup.
Lumenly takes scheduled snapshots and diffs
Lumenly snapshots your Epic flowsheet build on a configurable schedule — daily or weekly. Each snapshot is diffed against the previous one. When rows are added, groups change, or medications are retired, affected forms are flagged and queued for regeneration.
Lumenly proposes simplified order sets
Lumenly reads your active Epic order set inventory via Clarity, identifies pre-selected default orders, and generates a 2-3 page simplified paper version per order set. Simplified versions are included in your next PDF kit.

Staff scan or photograph paper charts
Staff use the Lumenly mobile app to photograph charts room by room. Bulk upload from a flatbed scanner is also supported. Documents are tagged to the active downtime event automatically.
AI classifies and extracts every document
Lumenly's coordinator AI identifies the document type — MAR, Vitals, H&P, Orders, and 11 other types — and routes each document to its specialist extractor. Every extracted field receives a confidence score. Nurse initials are resolved against your org's signature library.
Clinicians review side-by-side in the validation UI
Extracted fields appear alongside the original scanned document. Low-confidence values are shown in red. Click any field to jump to its source location in the original scan. Accept, edit, or reject each field. Every validation action is logged with timestamp and user for authorship chain.
Validated data exported as HL7 or CSV for Epic import
Validated documents generate HL7 v2.x messages or CSV files designed to file via standard Epic import interfaces. Vitals and I&O generate HL7 structured for incoming flowsheet data. MAR data exports as standard CSV. Provider notes export as MDM^T02 scanned document messages.
Epic-build-aware forms make Recovery faster
When Readiness Free or Pro customers generate their downtime forms with Lumenly, those forms are laid out using structured grid geometry — consistent cell sizing, clear field zones, and high-contrast borders — specifically engineered for downstream OCR processing.
If a downtime event occurs and those forms are scanned into Lumenly Recovery, the AI extractors recognize the form structure. Field locations are predictable. Value types are known. The extraction accuracy is measurably higher than processing forms printed from unknown sources.

Free and Pro are PHI-free. Recovery is isolated.
The Free and Pro tiers never touch patient data. Recovery is a separate, PHI-scoped environment with full HIPAA controls. No data flows between the tiers. This is an architectural boundary, not a policy statement.
